As we continue to grow, we are looking for a super organized, proactive, and self-sufficient Executive Assistant / Director of Operations to support leadership and ensure the smooth running of the business. This role goes beyond basic admin — we’re looking for someone who anticipates needs, takes initiative, and keeps operations (and the founder) on track.

Position Overview

As an Executive Assistant / Director of Operations at COGNELITE, you will play a key role in supporting the day-to-day operations of the business while helping us further our mission to empower athletes and maximize their potential.

This is a part-time position (20 hours per week) that requires someone with exceptional organizational skills, the ability to handle multiple tasks simultaneously, and a passion for supporting both athletes and the business that serves them. Ideally, you have a background in athletics (bonus if you’re a former college athlete) and are excited about fostering mental resilience and personal growth.

Key Responsibilities

Executive Support

  • Daily check-ins and weekly review meetings with the founder

  • Keep business operations organized and streamlined

  • Manage calendars, task lists, to-dos, reminders, and accountability systems

  • Anticipate needs and handle details without requiring reminders

Communication & Client Relations

  • Manage and respond to client emails and scheduling requests

  • Ensure communication is polished, professional, and thoughtful

  • Draft and send important client announcements, ensuring nothing slips through the cracks

  • Serve as a point of contact for consultants and team members

Operational Support

  • Maintain inbox organization and oversee follow-through on emails

  • Assist with light bookkeeping tasks and ensure tax deadlines are met

  • Invoice clients and track payments accurately

  • Manage platforms like PsychologyToday and ensure all listings are up to date

Marketing & Growth

  • Assist with social media management, scheduling posts, and tracking engagement

  • Support in finding and onboarding new clients

  • Help coordinate program development, workshops, or events

Project & Team Management

  • Coordinate with consultants to ensure smooth workflows

  • Support in developing internal systems and documentation

  • Ensure projects are moving forward on schedule and with clear communication

Leadership Support

  • Jump in wherever needed to solve problems or fill gaps

  • Take initiative in identifying inefficiencies or opportunities for improvement

  • Proactively suggest solutions, rather than waiting to be told what to do

Ideal Candidate

  • Athletics Background: Former college athlete or strong understanding of the mental challenges athletes face

  • Organized & Reliable: Able to juggle tasks, manage time well, and keep things from falling through the cracks

  • Excellent Communicator: Professional, personable, thoughtful, and clear in both written and verbal communication

  • Proactive Self-Starter: You don’t wait to be asked — you anticipate needs and take action

  • Tech-Savvy: Comfortable with or can pick up quickly, Google Workspace, Slack, scheduling tools, invoicing platforms, task management, and social media management

  • Problem-Solver: Resourceful, adaptable, and solutions-focused
